Sub Projects Tabs
Learn how to create a new sub project, and learn how to use each of the Sub Project tabs.
Tips:
- Sub project fee type cannot
be changed once an invoice has been generated.
- Sub projects ideally match the fee proposal breakdown of fees issued
to the client.
- Learn how to use each of the features on the Sub Project List tab in the Project Plan.
- The Project Plan tab is only shown if the Resource and Capacity Management module is enabled on your Synergy license. If this module is OFF, then only the Sub Projects tab is shown. Contact the Total Synergy Support Team to request the Resource and Capacity Management module.
Add new Sub Projects using templates
A list of sub project templates will appear when
you first create a new project. If you need to add extra sub projects using templates click the toolbar button on the Sub Projects tab.
Complete the following steps
- Select one or more sub projects to be attached to the
project.
- Change the Sub Project Name by clicking into the name field and over typing the text shown.
Note: This won't change the template.
- (Optional) Change the Budget Factor to increase/decrease the budget values stored in the Sub Project Template. Type into the 'budget factor' field a value of 1.20 to increase the template budget values by 20%, or type 0.80 to decrease the template budget values by 20%.
- The 'Drawings' box is checked if drawing rows will be added to the drawing register when this template is used.
- Save.
- The Sub Projects have now been added to the project using the templates selected. View them on the Project Plan > Sub Projects tab.
Tips:
- Use the 'Filter' button in the top right to look-up part of the Sub Project Name. This helps you to find the template you want to use quickly when there is a long list of available templates.
- Once a sub project is created, it can be copied to create further sub
projects .
- The fee type can be changed once
the sub project is attached to the project.
- Add drawings to the Sub Project Template and the drawing rows will be automatically copied into the Project Drawing Register when the sub project template is added to the project. Learn how to setup the drawings on a sub project template.
- If a colour has been assigned to the Sub Project Template, the added Sub Project and Budget Tasks will have the colour applied. This is available when the Resource and Capacity Management module is enabled (*Synergy Enterprise clients only*).
Add a new Sub Project
Complete the following steps to create a new sub project without using a template
- Click Add .
- Type the Sub Project Name.
- Select the Sub Project Manager, Practice Staff Rate, Practice Discipline, and the Practice Cost Centre.
- Choose which fee type will be used on the Sub Project. This will control how the time allocated to this project is invoiced to the client.
- Type the Sub Project Fee value.
- Save .
- (Optional) Rates tab - If you have a special rate for this project, use the rates tab to enter the details.
- (Optional) Tasks tab - Add the tasks that are part of each Sub Project, which is used when creating the budget.
- (Optional) Budget tab - Enter hour many hours it will take to complete each task, and which staff member will complete the work.
- (Optional) Team tab - When using Project teams, define what staff members are working on this sub project.
- (Optional) Attributes tab - Enter the Sub Project attributes (mandatory or optional) which will be used as extra reporting information about this sub project.
- Save and Close .
Tip: If you create a new sub project using a template, the general tab details except for the Sub Project Fee value details are completed automatically for you. Learn more about creating sub projects using sub project templates.

Add the Sub Project fields to Synergy reports as additional columns.

A number of reports can be filtered using
the fields on the Sub project > General tab.
- Sub Project Notes field - The note field allows the entry of up to
32,000 characters. The first 500 characters are displayed on reports that
are generated. The full note can be displayed
on Document templates including the Fee Proposal. The Sub Project Note can appear on the
invoice to the client. Refer to the Invoice data table topic for more information.
Example of adding Sub Project filters to your reports
Running a report for
the whole project we can see each sub project broken down with fee, invoiced
to date, cost and profit:
However, we can run
a report with the filter Sub project discipline IS Civil, we get the following:
Example of how tax rates are calculated for each fee type
- Hourly/cost rate fee types - What the setting will do is calculate GST
on top of the fixed fee, hourly rate and/or expense (office or supplier)
amounts. Also if expenses were entered excluding
GST,
GST
will still be added to the value of the expense transactions based on
the tax setting Tax applicable. If
the tax setting is Tax free, then GST
will not be charged on top of the expense value. If
your expenses when added to the sub project are not GST applicable, GST
won't be charged to those transactions based on this setting. Refer
to the Tax

- Fixed fee and Percent fee
types - This fee type allows you to nominate an amount
or a percent complete when creating the invoice. The
applicable tax value will be added to the amount being invoiced.
Rates tab
Use the rates tab to define any specific rates that can only be used for this Sub Project. Enter a specific rate on the project, to override the standard rates used for invoicing purposes.
Tasks Tab
What are the Sub Project Tasks NEW 4.8
Tasks added to the Sub project are available
for budgeting, resource planning, timesheet entry and reporting. Enter a custom task to be used for just a single sub project. If you want the same task on all Sub Projects, add it to each Sub Project individually.
Remove standard tasks from the selected sub project, so they do no appear within the budget and Resource and Capacity Planning modules, and when entering timesheets.
Why use Sub Project Tasks
Create tasks within
each sub project, to ensure that all Project Planning and Timesheet entry for this Sub Project will use this specific list of task.
- Add / remove tasks to control what is available for timesheet entry for the sub project.
- Add / remove tasks to limit what is available to use when creating your Project Budget.
- Add / remove tasks to control what is available for use within the Work Breakdown Structure when planning your project (Used if the Resource and Capacity Planning module is activated).
Attach custom tasks
to a sub project
- Open
a sub project.
- Select
the Tasks tab.
- Click
under the heading Task.
- Type
a description for your Task.
- Save .
Tip: A new custom task is created when you over-type a default timesheet task name and save. Default timesheet tasks names can only be altered in Default Data > Timesheet tasks.
Limit the tasks available for timesheet entry by deactivating the default tasks
Alter which default timesheet tasks are available for the staff to use when entering timesheets, by un-checking the 'Active' box. Default timesheet tasks are created in Default Data > Timesheet Tasks. Add custom tasks to the sub
project by checking the option 'Only use sub project specific tasks on
timesheets'. This setting will ensure that only the custom tasks added will be available for staff timesheets entry. When this option is used default tasks are not shown for timesheet entry.
Follow these steps to change which tasks are available for timesheet entry:
- Open the Sub Project > Tasks Tab.
- The default timesheet tasks are listed.
- Locate the timesheet task that should not be used for this sub project.
- Uncheck the 'Active' box.
- Repeat this step for each timesheet task to be removed from the Sub Project.
- Save .
- (Optional) Add custom tasks required for the sub project by typing the task name.
- Save .
- Check the 'Only use sub project specific tasks on timesheets'.
- Only the custom tasks added will be available for staff timesheets entry.
Delete a custom task from the sub project
Delete it from the Sub Project if it has not already been used in the system on timesheet entry, sub project budgets, or resource planning. To delete a task:
- Open the sub project.
- Select the Tasks tab.
- In the list highlight the task you want to delete.
- Click the delete icon in the toolbar.
- The task is removed from the list.
Utilised vs non-utilised tasks NEW 4.9.7
In an open sub project tasks tab you can see which of the tasks are to be utilised vs non-utilised in Synergy reports. If tasks are utilised they are normally tasks that count towards billable project tasks, where as non-utilised tasks are normally for non-billable project tasks. Custom tasks added in the sub project are all automatically set as utilised. The following indicator can change for the standard tasks:
- Utilised task image
- Non-utilised task image

Budget Tab
Use the Sub Project Budget tab, to define the expected costs, and staff charge and hours required to complete all the sub project tasks. The information entered here will also be displayed on the Resource and Capacity Management module > Work Breakdown tab (* Synergy enterprise clients only *).
Enter a Sub Project Budget on this tab by
- Click Add Budget button.
- The 'add budget items' rows are shown with grey text.
- Type a number of 'budget units' to add for the rate shown.
- (Optional) Select a task.
- (Optional) Select a staff member.
- Save .
Tips:
- Staff and Tasks can only be entered for Staff and Inspection rate types.
- The staff members displayed in the drop down list have the rate enabled on their staff record within Practice > Staff and Application Security List.
- Use the 'Refresh Budget ' button to apply the specific rates to budget entered on the one Sub Project. Or use the button in the Project > Budget tab to update the budget for all the Sub Projects at once. NEW 4.8.8

Project
Team Tab
Setup the staff members who make up the project team
- Select a staff member from the
list.
- Nominate the staff to a particular
sub project or <All> sub projects.
- Select a skill from the list
- this is optional.
- Save .
- Repeat for each staff to appear
in the project team.

Time and Expenses Tab
This tab is used to display all the timesheet and expenses transactions that have been linked to the Sub Project. For a new sub project this tab is always blank, as no transactions have been entered by the staff yet for the sub project.
Earned Valuations Tab
The earned valuations tab is used to nominate a true value of work complete to date, regardless of what's
been invoiced to date. The result may create a
negative or positive variance that is entered as a journal into your accounting system.
Use the Sub Project Earned Valuations tab to view any previous valuations entered, and any current open valuation periods which require adjustments to be checked an entered.
Notes Tab
Use the Notes tab to view any note entries that relate to the Sub Project. Notes can be used to store any type of text message that is important
to be logged against the Project,
sub project, contact, personnel or contract. Notes can be
assigned to one or more of these areas.
Attributes Tab
Attributes are user defined fields that can
be used as filters on reports, columns
that can be added to a report or searched on and referenced by
all staff.
