Tips:
Earned valuations (EV) are a means of objectively tracking project progress and identifying project performance problems. EV also provide a means of validating the WIP value for audit purposes and, depending upon the practice accounting policy, smoothing revenue over time.
Synergy tracks invoices against project/sub project and derives the % complete based upon invoice progress against the Fee. The EV represents the Project Manager’s assessment of the actual progress % of the sub project as opposed to the invoiced progress % and is recorded periodically (typically per month) against the project/sub projects.
This allows Synergy to compare Invoiced to EV and provide a + or – value, called an Adjustment, to be used both as a performance indicator and a periodic financial adjustment to smooth Revenue and value WIP given the estimated progress of projects.
Use the Earned Valuations tab in the Project to view any open valuation periods, or use the Sub Project > Earned Valuations Tab to review the previous valuations and any open valuations which may require adjustments.
Tip: Open a new valuation period for all projects using Earned Valuations List.
Earned Valuations are used as a project performance indicator both at the project office or company level. In a practice which is subject to annual audits the periodic WIP valuation is used as a supporting record to validate the WIP entry and related journals.
The Project Manager would use the Earned Valuations Tab to review the Valuation details at the same time as checking the other project information.
The filter is located in the top right corner of the Project > Earned Valuations Tab. The following filter options are available:
Tip: The filters are not available on the Sub Project > Earned Valuations Tab.
Use the Project tab to update the valuation for any open valuation periods. The earned valuation for a sub project can be updated when the sub project status is 'Active', or a custom active status, and the 'Hold' status. The earned valuation can be updated in either the Project or Sub Project Earned Valuations tabs, or in Earned Valuations List. Update the valuation in the Project by:
Tips:
The Auto Complete button controls if the sub project row is automatically marked as complete when the earned value or percentage columns are adjusted. The Auto complete button is found in the toolbar.
Use the 'Undo' button in the toolbar to remove any unsaved changes to the earned valuations tab on the Project or Sub Project tab.
Rows with unsaved changes are shown with the green save button . The green save button is shown on the right side of the row.
Use the 'Mark this sub project as valued' button in the toolbar, to change the indicator of the row from not valued to valued . How this feature is used depends on if the Auto-Complete feature in the toolbar is On or Off.
Use the 'Mark this sub project as not valued' button in the toolbar, to reset the valuation status of a Sub Project. Using this button will remove the valued indicator , and reset the indicator to be not valued .
Any previously entered earned valuation adjustments will remain on the row. Make any further reviews/adjustments before marking the sub project as valued again for the period.
Double click a sub project row on the Project > Earned Valuations tab to view the current valuation, and any previous valuations that exist for the project. Adjustment of the Earned $ or % value is allowed in the opened 'Earned Valuation' window for the Sub Project.
Edit a closed valuation for a sub project, if the valuation $ or % value was entered incorrectly. Amendments of a closed sub project valuation can only be made by a user with Director or System Administrator access level rights to Synergy. The changes made using this feature are tracked in the audit log. This feature is available from the Sub Project > Earned Valuation tab. This feature is not available on the Project > Earned Valuation tab.
Edit the closed valuation line:
Tip: If you need to update valuations for multiple projects in completed periods, then use Earned Valuations List.
Use the refresh button to update the Sub Projects listed after the sub project status has been changed to Active or On Hold to allow Earned Valuation adjustments to be entered. Also use the refresh button to see if new transactions have been entered or existing ones updated for the valuation period. This will ensure all transactions are included in the current valuation.
