Automatically copy the text field of the reference name to the Project title field.
Use this setting to copy part of the Project Title entered to the 'Address Line 1' field. This setting will autoamtically copy everything entered after a comma ',' in the Project Title to be shown in the Address Line 1 field. If no comma is entered in the Project Title then no details are added to the Address field.
System wide setting for the use of Phases. Once activated the setting will again need to be switched on for each Project required to use Phases. Phases group individual sub projects for proposal and invoicing purposes.
[\\SERVER\Synergy\Projects]
When new projects are created, Synergy will create Project folders across the network on the Synergy server as nominated in the Network tab in System Settings e.g. [\\SERVER\Synergy\Projects].
If Project folders are not required, turn the option off. You can set a link in the project to your existing project folder location.
Synergy would not recommend turning the Project folder creation off, due to the Document Management options available throughout the system.
Typically when you create any document from a project, upon saving the document the project folder will be located.
There is an ability to allow multiple sized project prefixes. On a particular type of project they may be 2 digits and on others, perhaps a different office is 4 digits. The setting would be 2 to 4.
Specify if you require a divider [- . or none] between the prefix and the project number counter.
Enter the maximum number of digits your project number contains.
Within Default Data Menu, a list of Project Prefix’s can be set i.e. SYD0, MEL0 and BNE0. Each prefix will maintain a sequential listing. This setting will force people to select only the nominated/active prefix’s. Each office would then have a sequential counter e.g. 0001, so an enter number might be SYD00054 etc.
In this example the prefix size is set to only contain 2 digits and a 3 digit counter: so in the year of 2018 the project number example here would be = 10021
As the folders are created on the server, the format can be set. This project folder structure is what all programs, not just Synergy will have a relationship with. The options are:
Create Project Prefix Folders
With the above example project number SYD00129, SYD0 is the prefix. A prefix folder can be generated and store each project belonging to just that prefix.
Similarly with Project folders, Synergy can create a sub folder for Sub Projects and will be stored within the Project directory:
Type a name for the Grouping, such as Sub Projects. If you don't add a Sub Project Folder grouping, each sub project folder will be generated along side the Project folders.
Automatically create sub project folders
If you need sub project folders generated at the time the Sub Project is created, then ensure this option is selected. Otherwise, you will open the Sub Project, select Documents and Rebuild the sub project folders.
Tip: Once this is activated the system will prompt you if special characters are used in the Sub Project Names. The following characters cannot be used /\?":|<>
Set whether or not only Administrators, Director or System Administrator access levels should have the ability to archive or restore a project.
Elect to perform earned valuations, which allows project managers to specify a true value of work completed regardless of work actuals and billings so far. The variance figures would then be entered into your accounting system.
