Use the Company Planning Board to schedule multiple projects tasks, defining what date and time the tasks will be completed. Assign staff to the project tasks after checking their availability in the Company Capacity Board. The project tasks shown for scheduling were created in the project work breakdown structure tab. To understand how to use the company planning board, it is important to know how this function fits into the Resource and Capacity Management module. There are two parts to this module, the first part is to create the micro project plan by scheduling tasks for a single project to be completed. The second part is to look at the big picture by viewing the macro level project plans, and plan and schedule all the projects for each office location.
Before using the Company Planning Board, the micro level project plan must be setup. The micro view allows you to setup the project plan for an individual project, without requiring to view what each of the staff in the company are also working on at the same time.
The steps to create the plan for the project level are:
Once the micro view of the project has been created, the planning and capacity levels can be checked at a macro level. The macro level allows managers to view all the tasks that are required to be complete for all planned projects, and deciding which staff will complete the project tasks.
This topic is looking at the Macro level view of how to schedule tasks for multiple projects for an office location. Drag and drop the project tasks onto the Planning Board to scheduled the work to be completed. Add staff to the project tasks to ensure they are aware they have to complete the work. Use the Month and Week views to schedule a task to be completed across multiple days, and use the day view to schedule an exact time of day a task should be commenced.
The office filter and display options update the planning board to display different information about the project tasks for the selected office location. Toggle between viewing the Project, Sub Project, Task, Rate, Staff or Project Manager information on the Planning Board for each task.

Plan when tasks for multiple projects will be completed for each office location. Check if there is availability to schedule your project work to be completed this month.
There are three main sections where actions can be performed in the Company Planning Board. First is the 'Projects to Schedule' panel, and the second is the planning board panel which looks like a calendar, and the third area is the toolbar. This section describes each of the actions that can be performed in these areas.
The following actions can be performed in the projects to schedule panel:
Use the Expand Tree button to view the Projects, Sub Projects and work breakdown items,or the Collapse Tree button to view the Projects only.
Use the search feature to look for project to schedule in the planning board, by entering a keyword to look for in the Project Reference Name field in all Synergy projects..

The width of the projects to schedule panel can be adjusted, by clicking the bar of the panel and dragging it to the left/right. Adjust the size of the panel to view all the Sub Project, Task, Rate and Staff information of the Work Breakdown item before it is added to the Planning Board.

The following actions are available for the planning board:
Three views are available on the planning board: Month, Week and Day. The default view shown when opening the function is the month view.

Update the planning board to display a different date using the calendar buttons. These are shown in the top right of the planning board toolbar. Select the date that you want to be shown in the Month, Week or Day view of the Planning Board. Calendar options available are:

Drag and drop to the Planning Board a Project, Sub Project or Work Breakdown item from the 'Projects to Schedule' panel. Drop the item onto the date/time that the work should be completed.

Double click an appointment in the Planning Board to update the appointment details. The Project, Sub Project, Task, Rate, Staff, and start and end time of the appointment can be adjusted.

The following buttons are available in the toolbar for the planning board:
Use the Refresh button in the toolbar, to update the Scheduled Hours total shown on each of the items in the Planning Board, and the colours applied to new added work breakdown items.
Tip: The Scheduled hours on the planned items are not automatically updated after the item has been edited. Click refresh to see how many hours the appointment is planned for.
Use the 'Show projects available for scheduling' button in the top toolbar, to toggle on/off if the 'Projects to Schedule' panel is shown.
Tip: Hide the 'Projects to Schedule' panel to make the Planning board larger on screen, and view more information.
Split a long appointment and assign different staff to the task for each day it is to be worked upon. Or move one day of the scheduled work to the following week/month.
The split appointment button is located in the top toolbar. Use this button when you have scheduled an item across several days in the planning board, and you want to break-up the appointment to show as a separate item for each day it is scheduled . The split process will place one appointment onto each day the office the office is open, or create an appointment for each day the staff member works on. The working days are setup in the office and staff calendars.
To use this feature:
Tip: The split appointment button is also available in the edit appointment window.
The 'Holiday Seaside Villas' project has been scheduled across three days in the planning board. This appointment is scheduled on Friday, Monday and Tuesday. This is displayed as one appointment across the weekend. The weekend days are not included in the count of scheduled hours for the appointment, as the office calendar has marked the office as closed on weekends.

Select the appointment that is to be split in the planning board. Then click the Split Appointment button. A separate item is then shown for each of the three days, Friday, Monday and Tuesday. No appointment is created for the weekend days of the week, as the office calendar settings are applied when splitting the appointment (Office is closed on weekends).

Tip: If a staff member was assigned to the appointment, then the staff calendar setting for working days would override the office calendar.
Use the display by buttons in the resource management toolbar, to change what information is shown on each of the appointments in the planning board. The following display by views are available:
Tip: Hover your mouse over an item in the planning board, to view all the details about the scheduled appointment in a hover pop-up box.
When multiple office locations are setup in Synergy, you can use the office filter located in the right corner of the resource management toolbar. This will update the Projects to Schedule panel, and the Planning Board to display project details only for the selected office location.
The default office displayed is primary office for the logged in user. The primary office is selected in Practice > Staff and Application Security > General Tab. Multiple offices are shown in this filter if they have been enabled for use in the staff record on the Offices tab.
Export the contents of the planning board out to MS Excel® to take the plan to a meeting, or review the details at a closer level. This report is great for management to print to see what all of the staff are scheduled to work on this month / next month, or for a project manager to view which staff are scheduled to work on their project.

Customise your Excel template for this report
This should be done by your Synergy Administrator. Changes to the Synergy template for this report will impact all the staff that print this report. You can only have one layout for this, we do not allow for multiple layouts.

Tip: Drag and drop the items from this panel onto the Planning Board, to schedule the work to be completed on a set date/time.
The planning board is the calendar style view shown on the right side of the Planning Board tab. Which details are shown for each appointment will depend on the view display by option selected in the toolbar. All the items listed below can be seen in the hover box displayed when you place the mouse over an appointment in the company planning board.
