Open the Time and Expenses calendar view by selecting the Timesheet button in the top toolbar. Double click the day in the calendar that you want to add a timesheet for to start creating a new record.
Enter your timesheets to describe the type of work that you have completed for each day in a weekly entry view. Quickly enter your timesheets with the project lookup, which lets you easily find the projects you are scheduled to work upon, your favourite 'my projects', or the history of recently entered timesheets. The timesheet information is later used for invoicing chargeable project work, and reporting on project tasks. Use the tabs to also enter cash and travel expenses.
Use timesheets to record what project or office tasks were completed for each day, how many hours the task took to complete.
Tips:
Tip: Did you know that the Project will be automatically added to your 'My Projects' list, after you use it in a timesheet or expense entry. This makes it easier to use the project again for the next entry.
Use the 'Recent' panel in the project look-up pop-up to find the history of your entered timesheets. Reuse the history items for the next week/months timesheet entry when you continued working on the same project tasks.
The 'recent panel' shows the timesheets or expenses that have been entered in the last 2 weeks by default. Click the row or the checkmark on the row to use that recent timesheet entry, and the project - sub project - task - rate will be automatically completed to match the selected timesheet.
Use the toggle buttons to adjust the amount of history shown: 1 week, 2 weeks, 1 month, 2 months.
The Hours panel on the timesheet entry page lets you check the number of hours already entered for each day. Before adding extra records for a day check the total number of hours in the top right corner of the day of week box.
You can also check the number of hours already entered in the calendar view. The total number of hours entered is shown for each day in the calendar. The hours are shown in green if they have been submitted for approval or are approved. The number of hours is shown in yellow if they are not yet submitted for approval. Tip: If 'start and end times' option is enabled in the desktop application, then you will see the start time of the task and the end time of the task instead of a number of hours.
Use the submit day button in the calendar view to save the entered timesheets for that day into WIP. The Undo submit timesheet button will remove the items from WIP, to allow the user to edit/update the transactions. The Undo Submit Timesheet button will only function for items that are not in declined, invoiced, written-off, or queried status.
The day is automatically submitted upon saving the timesheet, if your staff login account has 'auto complete timesheet' box checked in the desktop application (by your System Administrator). If this setting is not checked, then the user will need to select the Submit Timesheet button to commit the entries to WIP, once they have completed the days timesheet. Only submitted/committed timesheet entries are shown in the project > time and expenses tab ready for invoicing to the client.
Select Submit Timesheet or to submit the days timesheets shown in the right panel in the calendar view. This will sends your new timesheet entries to your manager for approval. Use the Undo Submit Timesheet button to unlock the timesheet records so you can edit the details, and then resubmit the timesheet records to your manager for approval.
Once the manager has approved the timesheet, the Undo Submit Timesheet button will not unlock the transactions (as approved entries can only be amended by entering a Transaction query into the Synergy Desktop Application).
Tip: Make sure you submit all timesheet entries or . Only submitted transactions will be included as WIP against the project, and be ready for invoicing. Days with unsubmitted timesheets are shown in yellow in the calendar view.
