Project status maintenance

Staff can easily see what stage the project is currently up to by editing the status each time the project moves through to a different stage or life cycle.  Reports can be generated according to the projects' status i.e. what projects are currently in the design phase. This maintenance area allows the user to create additional status definitions to further customise the system. 

Tips:

Default status'

This maintenance screen allows you to create sub status' for Active and Proposal. You first need to know what the defaults in the system are to determine if you require additional status'. These are:  

Proposal

Active

Pending Invoice

Hold

Complete

Unsuccessful

Additional active status

A project and it's sub projects can be applied the active status and no differentiation would be made - they are all just a list of "Active" projects.  However, by creating additional active status' they are easily reported on to filter out particular types of projects.

The above is a list of projects that have been assigned the default Active status.

However, the above is the same project list with the new additional Active status' assigned. Select 'Active Status' from the Project List filter to view all Projects that have an Active status, and any custom created Status.

Additional proposal status

Create additional status'

Where is it? Default data > Project status maintenance

  1. Click into the white area under the Status column heading.
  2. Type a name for the Status.
  3. Provide details as desired.
  4. Save .

Set the default sort order

Setting the order of the additional status' should be done to set an order that makes sense to your firm i.e. the order doesn't necessary need to be alphabetic but more an order of where in the project life cycle they occur.

Where is it? Default data > Project status maintenance

  1. Select the sort order button .
  2. Select a Status.
  3. Use the arrows to move it up or down into place.

Customise the report and use the Project Status filter

Select Proposal (All) or Active (All)

Active (All) includes all Projects that have an Active status, including any custom created Status.

Proposal (All) includes all Projects that have an Proposal status, including any custom created Status.

OR put a Group by on Project Status
