Learn how to use each of the settings that control how Invoices, Credit Notes, and Payments are sent to Xero when running the Synergy Xero Connect sync.

Xero Connect will transfer any Invoices, Credit Notes, and Payments from Synergy to Xero. The credit notes include a credit for any cancelled invoices in Synergy. Payments entered in Xero can also be imported to Synergy.
Use the Xero Connect Invoice Settings to select which Xero Account Code, Inventory Item, and Item Description will be shown for each row of the invoice or credit note transferred from Synergy. Use the reference setting to display on the invoice/credit the Project Client Reference Number, Project Number, or the Invoice Note Text.
Use the invoice filter options to control if all available invoice and credit notes will be sent in the sync, or if only invoices for a certain project manager or office location will be included in this Xero Connect sync run.
Control how invoices, credit notes, and payments from Synergy are transferred to Xero.
Synergy Invoice and Credit Note details can be exported to Xero. Use the Invoice Settings screen to control the following options:
Export Invoices and Credits - Enable this setting for the sync to Xero.
Check the 'Export Invoices' box to have Invoice and Credit Note data sent in the Synergy Connect sync to Xero.
The other options are only required when this option is enabled, and invoices and credits will be sent to Xero.
In Xero a 'Inventory Item' can be entered on each row of an Invoice or Credit Note. This setting helps control what Inventory Items will be used for the data imported from Synergy. If required new Xero Inventory Items will be created in Xero as part of the sync. Xero Inventory Items can be found in Xero > Settings > Inventory Items.
Control what information the Xero Connect Wizard uses to create the Inventory Items in Xero. The Inventory Items also contain a link to the account code in Xero that the data will be linked to. The Account Code lets Synergy know which Revenue account to add the data to in Xero, and will be outlined further in Option 3.

Tip: The inventory item description does not get displayed on the invoice/credit. The description is overwritten by the selection in "Option 4 - Select the Invoice/Credit Xero Line Description" below.
The Account Code is used to define which 'revenue account' the invoice/credit data will be transferred to in Xero. The default Xero setup has one Revenue Account with the Account Code #200. However you may have setup multiple revenue accounts in Xero, to track different revenue streams for different office locations or type of business. Use the account code setup to ensure that the different types of invoice and credit notes are attached to the correct revenue account in Xero.

Setup the account segments to always send the invoice and credit revenue to the same Xero Revenue Account. This can be done using the 'Fixed Value' account segment option. The steps below would be required if you also wanted to display the 'Project Number' on each invoice/credit line item.
Step the fixed account code using a single segment by:
A company has two directors, and requires to track the revenue for each director separately in Xero. Each of the directors works across the companies three business disciplines: Architecture, Landscape Design, and Interior Design. The revenue for each of the disciplines also needs to be tracked separately in Xero for each director. In Xero this is managed by creating a separate account code for each required Xero Inventory Item, and a separate Xero Sales Revenue Account (Bank Account) for each director/discipline.
The 'Inventory Item' of Discipline will be used, and the account segments are create to extra the account code for Xero from an alternate location.

Tips:
Choose what description will be shown on each Xero row added to an invoice or credit note.

Choose what details will be shown in the 'Reference' field on the Xero invoice or credit note. The options available are:
Choose if the information typed into the 'invoice text' field on the Synergy invoice or credit note will be sent to Xero. If this box is checked the invoice text will be added to the Xero invoice as an additional invoice line . The line will be created with no item code, and a $0 value. The line will be shown at the top of the Xero invoice before the invoice lines with value. The invoice text is displayed in the 'description' field of the Xero invoice line.
If this box is unchecked then only the invoice lines with value are created in Xero.
Tip : If the 'Invoice Note' field is blank in Synergy, then the additional invoice line is not created within Xero.
Filters can be used to stop a selected group of invoices and credits from being sent to Xero.
For example: Stop all invoices from appearing in the Connect Preview Window for the 'Sydney' Office Location. This will stop the transfer of Sydney office invoices to Xero, and allow all other office locations data to be sent across using the settings in the wizard.
Tip: Remove the filter in the edit screen using the eraser button on the filter row.

Options for ensuring the payment details in Synergy and Xero match:
Match a Payment Type in Synergy, to a Payment Account in Xero, using the 'Mapping' screen of the Xero Connect Wizard. These settings will be used by the Export of Payments from Synergy only. Learn more about using the Xero Payment Type Mapping settings.
Check the box in the setting window 'Export Payments' to send the payments entered in Synergy to Xero. Learn more about how to enter payments in Synergy.
Select which Xero Bank Account the payment will be added to in Xero, using the Payment Type Mapping screen in the Xero Connect Wizard. Learn more about using the Xero Payment Type Mapping settings. The payment mapping rules are hidden if you only are importing payments into Synergy from Xero. The rules are only required to be defined for exporting payments to Xero.

If invoices are created in Synergy using multiple currencies, the exchange rate is defined Default Data > Currency Rates. Synergy invoices display foreign currency values, and the entered exchange rate is used to convert the base system currency (i.e. AUD - Australian Dollars) to the invoice currency rate (i.e. GBP - Great British Pounds). The interface used to send data to Xero does not allow for the exchange rate to be sent across.
If the invoice value is not showing in Xero as expected, check exchange rate used in Xero matches what is entered in Synergy. Exchange rates in Xero are maintained in Settings > General Settings > Features > Currencies.
