QuickBooks (Reckon Accounts Premier) Connect Settings
Synergy has developed an automatic
integration between Synergy and QuickBooks (Reckon Accounts Premier) - QuickBooks (Reckon Accounts Premier)
Connect. This allows invoices to be added to QuickBooks (Reckon Accounts Premier)
with the click of a button and invoice payments made in QuickBooks (Reckon Accounts Premier)
will travel back to Synergy.
Tips:
- Please contact Synergy before
upgrading to a version of QuickBooks (Reckon Accounts Premier)that does not appear in the list of available supported versions.
- An error log is generated by QuickBooks (Reckon Accounts Premier)which can be found in the location of the QuickBooks (Reckon Accounts Premier) data file.

Configuration
Settings
Select Settings to setup the type of information you wish to pull from
Synergy to automatically go to QuickBooks (Reckon Accounts Premier). This is
a one-off setting that is changed only when a new version of QuickBooks (Reckon Accounts Premier)
is installed or the QuickBooks (Reckon Accounts Premier) data file location is changed.
New Connection
If you have more than one datafile that you need to sync invoices and
expenses to, then you need to create a new connection.
Complete the following steps:
- Select New Connection.
- Provide a name to distinguish it from the other datafile.
- Pay particular attention to changing the Connection
settings on the General tab as detailed below.
- Select the Filters tab and apply relevant sync filters
to process transactions to different datafiles.
- Use the 'tax' tab to map the Synergy tax codes to the matching QuickBooks (Reckon Accounts Premier) tax code.
- Review each tab to ensure the settings are correct for
the new datafile connection.
- Save.
Tip: The settings from the Default connection will be
copied over to each new datafile that is created.
General
Select the options to be used each time a transfer occurs. These
should only need to be changed when an upgrade of MYOB occurs.
Date settings
Synergy Connect will assume all invoices should be transferred from
Synergy to QuickBooks (Reckon Accounts Premier). So, it is very important
to indicate from what date you want the transfer of invoices, payments
and expenses to start from. No
invoice or payment will be transferred prior to this date.
Tip: It's important that if you are starting to use a sync feature for the
first time, that the start date be changed to the current date - however
make sure you run the sync for existing sync features before applying
settings for the new sync feature.
Export settings
Select the version of QuickBooks (Reckon Accounts Premier) currently being used - NOTE Synergy
supports only QuickBooks (Reckon Accounts Premier)2005 and up.
Default Settings
Revert to the default settings upon installation of the Connect module.
Reset all
Will set the transactions back to their original position, this will
aid in reconciling that all invoices have transferred to MYOB as well
as payments.
Tip: If you want to sync only invoices or only expenses or only payments,
you can at any time select the 'No Export' at the Source selection for
each export option.
Sync filters
Exclude invoices or expenses from the export. A
good example of this is if you have Projects that need to be split over
2 different datafiles. A new connection can be
created so you have settings for 2 different datafiles, however you will
need to specify what it is that will be the filter to split the invoices
across 2 or more datafiles.
Example
You have project prefixes SYD (Sydney projects)
and BNE (Brisbane projects).
Invoices generated against SYD projects need
to go to the Sydney QuickBooks (Reckon Accounts Premier) datafile, while the BNE project
invoices need to go to the Brisbane QuickBooks (Reckon Accounts Premier) datafile.
- Select Invoice Filter.
- Expand Project Filters.
- Select Project Prefix. Use the option
IS or Contains and start to type in the criteria for example SYD project
prefix. Save.
- Go to the new connection data file and repeat the same filter
but for BNE project prefix. Save.
Tip: You apply these
same filters to Supplier and Staff expenses .
Invoices
Export
Invoices Source
One
of the following options must be selected, however it will depend on how
you want the Invoice data to be displayed once it's imported to QuickBooks (Reckon Accounts Premier).
- Select one of the options from the Source
drop down.
- Supply an AR account.
- Set the Item settings, each Source type has it's own
unique configuration.

Contacts
Export All Contacts -
MOST
COMMON
This will add all contacts - not just those attached to an invoice -
from the Synergy database to the QuickBooks (Reckon Accounts Premier) database as a
Customer card file - the Contact Business Classifications are not utilised in QuickBooks (Reckon Accounts Premier).
Export Contacts with Invoices
Only those contacts associated with an invoice in the current batch
will be sent to QuickBooks (Reckon Accounts Premier).
Allow the contact name to be truncated
on export
QuickBooks (Reckon Accounts Premier)
has a limit of 42 characters for customer names. As Synergy allows
100 characters, there may be a need to truncate the customer name to 42
characters. If this setting is not set the invoice will not be imported
to QuickBooks (Reckon Accounts Premier),
as Synergy refers to the full name of the customer - which if it is still
100 characters will be unable to locate the customer in QuickBooks (Reckon Accounts Premier).
Payments will then also be refused import into Synergy and QuickBooks (Reckon Accounts Premier).
Payments
No Payment Import
As payments are entered in QuickBooks (Reckon Accounts Premier), this selection
will not transfer any payments from QuickBooks (Reckon Accounts Premier) to Synergy.
Payments will need to be manually entered into Synergy.
Import payments from QuickBooks (Reckon Accounts Premier) -
MOST COMMON
As the batch is run for invoices, Synergy will receive any payments
made to an invoice from QuickBooks (Reckon Accounts Premier) automatically at the same time.
Refer to the screen shot below as to what information will be transferred
from QuickBooks (Reckon Accounts Premier)
to Synergy.
Export payments
to QuickBooks (Reckon Accounts Premier)
This option would be used if your bookkeeper doesn't enter Customer
receipts in to QuickBooks (Reckon Accounts Premier) on regular basis. It will
allow staff to add the payment within Synergy each day and then when the
bookkeeper arrives can run the sync and have all invoices and payments
processed since last visit import straight in.
Reset Payments
Doing this function will allow you to do a reconciliation with Synergy
to ensure all payments from QuickBooks (Reckon Accounts Premier) are in Synergy.
Supplier Expenses
You can select whether or not you want supplier expenses to be sync'd
to QuickBooks (Reckon Accounts Premier).
Here's information about the settings available.view

- Select the area in Synergy where you've allocated the
Expense codes against.

Alternate: Provide an expense account code
in this field, so that if by chance a Contact, attribute, discipline or
cost centre
doesn't have an account code allocated to it, the expense will still be
transferred.
- Save and Close the Supplier expense account window.
- At Suppliers, select Supplier Source option. This
will create a record for the supplier in QuickBooks (Reckon Accounts Premier).
- Select if Card prefix is required.

- The 'due date' from the Supplier expense (bill) is sent via Connect. In QuickBooks (Reckon Accounts Premier) this is the 'Bill Due' date on the supplier bill record.
NEW 4.9.4
When are Supplier Bills exported
NEW 4.9.4
A Bill must have the following three conditions met for the bill disbursement rows to be shown in Connect Preview:
- The Bill needs to be marked as 'Export to Connect' is allowed.
This defaults to being allowed on new created bills, and all existing bills are marked as export allowed as part of the upgrade to 4.9.4. If this option is unchecked then it is a Synergy Only Bill, which allows you to show a transaction line on a project invoice that is to sent to your accounting system to be paid.
- The Bill must be fully disbursed against a project.
This means all lines on the bill must be disbursed against a Synergy project, or the <Office> project.
- The Bill must be 'locked'.
After entering a new Bill record in Synergy, the record must be marked as 'locked and finalised'. Locking a bill stops further editing of the record, and allows the record to be sent via Connect. Director access level and above can unlock a bill and edit the details if required.
All existing bills that are fully disbursed are automatically locked as part of the upgrade process for the 4.9.4 release.

Staff Expenses
You can select whether or not you want Staff expenses to be sync'd to
QuickBooks (Reckon Accounts Premier).
Review the information about the settings available:
- Select one of the options from the Source drop down.
The recommended option is Headers with lines grouped
by tax or Invoice with sub projects.
- At Staff Expense Account,
select New Segment.
- Select the area in Synergy where you've allocated the
Expense codes against.

- Save and close the Staff Expense Account window.
- At Staff, select Staff Source option. This
will create a supplier record for the staff in QuickBooks (Reckon Accounts Premier).

Tax codes
Use the tax tab to define which tax code is used for invoices and expenses, when sending the tax codes 'tax free' and 'tax applicable'.
NEW 4.9.4
Setup tax code mapping by
- Open QuickBooks (Reckon Accounts Premier).
- Go to Lists menu > Tax code list.
- Locate the tax 'code' that should to be used for Invoices that are 'tax free' and 'tax applicable'.
- Locate the tax 'code' that should be used for Expenses that are 'tax free' or 'tax applicable'.
- Close any open QuickBooks (Reckon Accounts Premier) windows that you don't require.
- Go back to Synergy > Open QuickBooks (Reckon Accounts Premier) Connect.
- Click the Settings button in the top right and select the 'Tax' tab.
- Type the codes from QuickBooks (Reckon Accounts Premier) into the:
- 'Quickbooks Invoice Tax' column for tax free and tax applicable rates.
- 'Quickbooks Expense Tax' column for tax free and tax applicable rates.
- Save the connect settings window.
- The tax codes have now been mapped for both invoices and expenses to be sent via Connect.

Tips:
- The tax code mapping is required for Reckon Accounts Connect when exporting invoices and expenses.
- The tax code sent for a Supplier Bill is from the disbursement line.
- The tax code sent for an Invoice is from the Sub Project.
Return to these settings when
QuickBooks (Reckon Accounts Premier) release an upgrade
as you will need to indicate the version of QuickBooks (Reckon Accounts Premier)being used.
Tip:QuickBooks (Reckon Accounts Premier)often introduce new import fields
that will not exist in the Synergy export routine. Please contact
Synergy for further information.
Set QuickBooks (Reckon Accounts Premier) Sales figures
to Net
QuickBooks tax setting
It is very important to set your tax setting in
QuickBooks to GST net.

Open QuickBooks.

Select Edit | Preferences.

Select Tax from the left hand side.

Select the Company preferences tab.

Select the Sales figures Net (exclusive of GST)
radio box.

Click OK.
The above instructions are as per QuickBooks Version
11/12 and above.
