What we think you should know
You may have missed out on the launch or haven’t had any training on the new Version, so we felt we should recap some features that will further enhance your Synergy experience
What would I do without knowing about this!! At first each time I’d go in to the Sub Projects tab or Invoices and I wasn’t seeing all of the project data. But now I realise that by changing the screen filter, I can search information so quickly or see other project data, that really I now know is not essential to be viewed all of the time, such as cancelled invoices or completed sub projects.
Each screen presents to the user a screen filter:
When you first go to Projects
When you first go to Invoices within a project

When you first log in to Synergy, you may notice a massive white area not really doing too much. Well, we haven’t gone mad - there is a purpose for it.
Click the spanner icon - it's in the top right hand corner on the My Synergy screen.
Tick all 4 options then save [have your staff carry this out as it’s specific to each profile].
Use the Search field to locate any piece of data - whether it be a project, contact, person or invoice - it’s all here!

The attribute columns have now been added to most of the project, sub project, transaction, contact, personnel and staff reports. This is useful if you are utilising an attribute to store the overall project director or want to see the market sector of a particular project. This extends attribute reporting beyond the Project Attribute report.

Since the release of Version 4, a few clients have advised the Help Desk that the database appears to be slow. If you find this, we recommend running the new maintenance feature on the database.
The backup and maintenance procedure should only take around 10 to 15 minutes and it’s worthwhile to schedule this to be done on a monthly basis.
Log everyone out of Synergy.
Open the Synergy Server.
Select the Backup and Restore Tab.
Click on Quick backup, accept the default name, then OK.
Select the Maintenance tab.
Click the Run button against Rebuild table indexes and statistics. A message will prompt if you’re sure you want to carry this out - yep, I’m pretty sure!
A message will prompt that the maintenance is complete, click OK.
Open up Synergy and enjoy faster reporting and response from Synergy.

Having been a long time user of Synergy, you may find that when you first go to Projects, the default display here seems HUGE. This is because over time a list of projects that you’ve worked on has been building up.
What I recommend is to clear the list and then start again:
Click the icon . This will clear the whole list - don’t worry this doesn’t delete the project from the system.
Click the screen filter that currently says My Projects. Select All or Active or Proposal or Project Manager etc.
Highlight a project.
Select the icon . This will pop a little person icon to the left of the project name. This project has now been added to your current list of projects.
Why use a My Projects List?
This list of projects is displayed as the list of projects when you do a new timesheet entry (so you don’t have to click Show All each time).
This same list then also appears in your list when saving emails from MS Outlook® to the project directory linked to Synergy.
Also, it’s so from the projects screen you can then open a project, change status or view the project directory from here!

There is a facility to store notes pertaining to chasing debtors.
Double click an invoice number via the project or invoice maintenance.
Select the tab Debtor Notes.
Tick the Reminder box and set a date and time to have the system remind you to follow up with the client/payor.
Go to reports and print the Debtor Notes adding the filter STATUS is Owing and Overdue.

Within the Contacts tab you are able to assign who should be the invoice recipient, so that during the invoice wizard the correct person will default. Click the button Invoice Contact. An icon will appear to the left of the Contact name.

When projects are created a list of sub project templates is invoked. You then tick the box against the sub project and save. Better still, you can highlight the name of the template and change it - before it’s added to the project! Simply type over the existing template name and click 'save'.

When a company’s details change, the personnel records also need to be updated i.e. phone, fax and address. There a function that will update the personnel records automatically.
Go to Contacts > Action > Update Personnel records. Tick the box against the Contact record at the top. This will 'tick' all personnel attached to the contact:
If a person has a direct number, un-check the tick box as in the example.
Save.
