Drawing Register Audit

The versions displayed are available for use on a Transmittal Summary Document that would be sent to the Project Contacts. Document versions are displayed here after the create a transmittal version feature has been used to select which of the revisions of the file are suitable to be sent out to the client.

Delete a Version

If a version of the document should not have been approve for use on a transmittal summary document, then delete the version from the list.

1. Highlight the version you want to remove in the list.
2. Select the 'Delete Version' button in the toolbar.
3. Or click the eraser button on the right of the row.
4. The document version has been removed from use on a transmittal summary document.

Tip: The version cannot be deleted if it is linked to a transmittal.

View if the version is for a controlled or uncontrolled file

An image is shown in the first column to show which area of the document library this file resides within.

• Controlled library The version of the file is shown, with the time that the controlled file was checked in, and which user checked in the file.
• Uncontrolled library The date and time of the last update to the uncontrolled file is shown. Uncontrolled files are stored in a .zip file at the point they are chosen to be on a Transmittal. This ensures that the version of the document selected is not later changed by another Synergy user.

Use these details to check that you have approved the correct version of the file for use on the transmittal summary document.

The audit tab tracks the details for each drawing registry row. Which user made the change and the date and time is tracked for each of the types of changes. What is tracked:

• Creation of the drawing registry row.
• Amendment of any the fields on the drawing register row.
• Linking of a file from the project document library.
• Amendment of which file is linked from the project document library.
• Adding a transmittal version.
• Deletion of a transmittal version.

1. File TypeThe image to explain if the file is stored in the Controlled or Uncontrolled document library.
2. FolderThe folder name in the Project Document Library where the linked file is located.
3. FileThe name of the file that was linked from the Project Document Library.
4. VersionThe version number linked to the drawing register row. Learn more about Linking Transmittal Versions.
5. DescriptionIf the file is Uncontrolled the date and time the file was last updated is shown. If the file is controlled the time the file was checked-in to the document library, the version number, and who checked in the file is shown.
6. DateThe Date and Time the document version was linked to the drawing register row.
7. Remove Click the eraser button to remove a transmittal version. A version can only be deleted if it is not linked to a transmittal.

2. DateThe date and time the change was made is shown.
3. ChangesA description of what the addition, or amendment was within drawing register list. When amendments are made the before and after values are stored.Also tracks which file and version is linked to the drawing register row.
