Synergy Cloud Database Sync (Database Backup)
This topic aims to provide an overview of how the Synergy Cloud database
sync works. Synergy Cloud Services and the database sync is available to all Foundation or Enterprise clients.
Why use it?
Store a complete copy of your Synergy database in a secure location
in the Cloud. New features have been introduced to Synergy which
will utilise the bi-directional data flow between the on premise database
and the cloud database.
Remotely access information about your Projects, Contacts and Timesheets using Synergy Cloud Services.
How does the sync work?
The Synergy Cloud sync application can be scheduled to run on your server
using Windows Task Scheduler. The cloud sync application will copy the
Synergy database to the cloud, which can act as a backup of your database.
Sync (also known as synchronization)
is the process of automatically copying data changes back and forth, to
keep two databases identical to each other.
For example:
When
new data is entered into Synergy and stored on the database server, the
updated files are copied to the cloud database. If new data is entered
in the cloud database (via Mobile Applications), then
the updated files are copied back to the database server.

Overview of the sync process
The following outlines how the sync process works:
- This Sync is configured using Windows Task Scheduler
to run the cloudsync.exe application.
- The Cloud Sync application is found in: C:\Program Files\Total
Synergy\bin, where C:\ is the default drive in which Synergy is installed.

Before running the first sync you will need to contact
your Synergy consultant to have the Cloud area for your Synergy database
configured and established.
- When running the first sync, please be aware that all
users must be logged out of Synergy. This first sync will take between
15 - 30 minutes to complete.
- All further syncs can be run when the users are logged
into Synergy. The process for future syncs will take approximately 3 minutes
to complete.
- It is recommended that in Windows Task Scheduler you
set the frequency to run the Cloud Sync application to:
- 5 minute intervals - When
using Mobile applications in the cloud.
- 15 minute intervals - When using the
cloud for backup purposes only.
Configure the Sync Frequency using Windows Task Scheduler
The Cloud Sync process will need to be run frequently during office hours, and only less frequently out of office hours. This is recommended, as you then only have the sync process running frequently when people are at work using Synergy.
Example
The company office is open from 8:30AM to 5:30PM, each Monday to Friday. The sync process should be run every 5 minutes during office hours, and every 15 minutes out of office hours. To achieve this you would need to create three Window Task Scheduler jobs to run at the following times:
- Monday to Friday - 8AM to 6PM -Frequency 5 minutes.
- Monday to Thursday - 6PM to 8AM - Frequency 15 minutes.
- Friday to Monday - 6PM to 8AM - Frequency 15 minutes.
How to I know what frequency to use?
We recommend that you start using Synergy Cloud Services with the database sync running every 5 minutes. After the Sync has been setup, you can monitor how long the process takes to complete in Windows Task Scheduler. Let the cloud sync run for several days at the recommended settings, before reviewing the Task Scheduler history results. Using the history results you can determine the average time the sync process is taking to complete. It is recommended that you configure Task Scheduler frequency time to be greater than the average sync time for your Synergy database in office hours.
Don't set the sync frequency to equal 1 minute within office hours.
The time taken to sync most databases is greater than 1 minute. If you used this sync frequency, you would find jobs failing in Windows Task Scheduler, as the new job would be unable to start as the previous job hadn't completed.
