Contact Card ID's
Card ID's allow you to store a unique number for the contact in Synergy, and be able to search for an view the same number in MYOB or Xero. Learn more about how Contact Card ID's are used in MYOB or Xero.
Adding a Contact Card ID in Synergy
Complete the following steps
- Open a contact in Synergy.
- Toward the bottom left corner a Card ID field exists.
- Type a value.
- Save and close.
Tip:
- Card ID's can only be added to Company contacts or Individual Contacts, not Personnel.
- Card ID's have a limit of 15 characters when using MYOB Connect. This is the maximum size of the field in MYOB.
- This limitation to the length of Card ID # is not applicable to Xero Connect. Any length of Card ID is supported by Xero.
Where I can view Card ID's in Synergy?
After adding Card ID's to the Contact you can see them in the most commonly used areas in Synergy in list views and drop down list when entering new data.
Examples of where the Card ID can be seen
- Contact List > Default column.
- New Personnel > Select a contact.
- Project Contacts tab > Select a contact.
- Project Contact tab > Add as an Optional column via a right mouse click in the list.
- Expenses (Invoice/Bills) > Select an expense invoice contact.
- Email Wizard > Search contact > Results panel column.
- Contract > Add a contact.
- Connect > Preview summary.
Using Card ID's with MYOB
To synchronise invoices and cancelled invoices successfully the Contact attached
to the Invoice needs to be identical in the two systems OR we can link the records
using a unique Card ID.
Example
ABC Constructions (RED HILL) is the record in Synergy. In your accounting system
it's ABC Constructions Pty Ltd. For invoices and payments to sync successfully they
either need to be identical in the two systems OR we can link the records using a
unique card ID.
The solution is to add the ABCCON card ID in Synergy as well as in the contact record
in the accounting system.
When the sync occurs, we are identifying records by this ID and not the names.
Allocate Card Ids in MYOB
Next add the Card ID from Synergy to the contact record in MYOB. When adding a Card ID in Synergy, the Card record in MYOB will not be updated. This must be done manually.
Complete the following steps
- Open MYOB.
- Open a Customer Card record.
- Add the Card ID in the field provided - 15 characters is the maximum field size in MYOB.
- OK.
Tip: Upon doing the next sync, change the Connect Settings to sync using card ID and the Invoice will sync based on the Card ID not the name of the Contact.
Do I have to apply a Card ID to everyone?
No. You don't have to apply a Card ID to everyone, only to those where the names need to be different in the 2 systems. Ensure in the Contact settings for Connect, that the Card ID Required field is unchecked.
Card ID's in Xero
When the Xero Contact interface created the Contact record, the Card ID # is automatically added to the Xero record. This information is used as the unique identifier for the contact record. The Card ID field cannot be amended in Xero, therefore there is no need to manually update this information on a Xero contact.
If the Contact record has been manually entered in both Xero and Synergy, the Connect interface will match contacts based on the contact name. When the Contact Names are an exact match, the Synergy Contact Card ID# is added to the Xero Contact record for use by future Synergy Connect sync runs.
Example of Card ID's on a Synergy and Xero Contact
The Card ID is entered on the Synergy contact on the General Tab > 'Card ID' field.

Xero will display the Card Id on the Contact as a 'Contact Code'. This information is read only, and cannot be amended in Xero. This is stored for use by the Synergy Connect process only.

Tip: If you amend the Contact Name or Card ID number on the Synergy Contact record, a new Contact record will be created in Xero on the next sync run. Learn more about Xero Connect Contacts.
Auto allocate Card ID's
Should the allocation of customer ID's be imperative to your firm, there is a function that will automatically generate card ids for each new contact that is created. With this ensure the Use contact card ID is checked as well as Card ID is required within the Connect Settings.
Edit Card ID's 
The Edit Card ID's button
allows the Card ID to be assigned to all contacts which are missing a card ID number.
NEW 4.8.5 Use this feature when you are using the Connect interface to send all your Synergy financial information to your accounting package like Xero or MYOB.
Tips:
- The contact will not be assigned a Card ID if the maximum value has already been assigned to an existing record. When this occurs auto assign feature will leave the Card ID number field blank for the contact.
