Invoice maintenance
Learn about payments, debtor notes, searching, preview the invoice in
a MS Word®
document and Credit Invoices.
Tips
- Creating invoices occurs through
the project.
- You can view all outstanding invoices in the Invoice Maintenance screen
- select the screen filter and select Open Invoices.
- Invoices and cancellations can be imported to your accounting
system.
Using the invoice maintenance screen
- double click the invoice number to view it
- double click the doc
to view the word invoice
- double click the project number to open the project
- click a heading to sort the column i.e. invoice date,
invoice number
Search for an Invoice
When you first open Invoice Maintenance via Projects, you will be in
search mode. There are a number of ways to search
invoices:
Search by project
- In
search mode, type a project number in the Project # field.
- Press
Enter.
Search for draft invoices
Use one of the following methods:
- Search for the keyword 'Draft' using the quick search in the Invoice Maintenance toolbar.
- Or use the Advanced Search option:
- Click the filter drop down (top right) and select Search
- Type the keyword 'draft' into the 'Invoice Number' box
- Click the Search button or press enter to run the search
- The results will show any invoices with or without 'draft invoice numbers' assigned
Tip: Assign invoice numbers to a 'draft' status invoice by clicking the blue text 'Invoice #' on an open draft invoice.

Example of how to search for an invoice
I'm wanting
to view all outstanding invoices that were created for May.
- In search mode, select the check box
Invoice date range.
- In the from calendar type 1/5 and in
the to calendar type 31/5.
- Then select the option Open (unpaid).
- Press Enter or Search.
The screen filter
All Invoices
|
Displays every invoice created in Synergy including
paid and cancelled invoices
|
Open Invoices
|
Displays owing and overdue invoices - any invoice pending
payment
|
Paid Invoices
|
Shows only those invoices that have been paid
|
Cancelled Invoices
|
Lists any invoice that has been cancelled - a cancellation
is never completely removed from the system
|
Overdue Invoices
|
Invoices that are past due 30 days
|
Search
|
Refine the results on the screen via project, client or date
filters
|
Make a payment
Complete the following steps- Locate
the invoice.
- Click the button Add or View
payments for this invoice
. - Key
in the date, the amount (inc. tax) and payment method.
- Save,
then close.
Tip: Paid in full will fill in the date,
the amount and payment method and save it automatically - then press close.
View the invoice summary
Each payment, credit and/or write off
that has been added to an invoice will be displayed to provide you with
a balance owing. Here you can print the credits or write offs that
have been created on the invoice.
Complete the following steps- Highlight
one of the credits/write offs.
- Select
the show word invoice button
. - A template
selection window will appear
- Select
a template.
- Create.
- The credit/write
off will be opened in word.

View invoice in
word
- Highlight
the invoice number to be viewed.
- Select
the generate in word invoice button
. - If
the invoice has previously been generated in word, the existing invoice
document will open.
Create an Invoice Email
NEW 4.8.7
Send a new email message to an Invoice Contact record using the Synergy Email Wizard. This feature allows you to use the email templates to automatically populate the email subject line and body of the message. Contact, Personnel, Project and Invoice type email templates are available for use. Learn more about email templates.
Send a new email message by- Add the 'Optional column' of 'Invoice Contact Email' to the list view via a right mouse click in the list.
- Click on the email address (shown as a blue hyperlink) for the invoice contact in the list.
- The Email Wizard opens.
- Select an email template from the list. If an email template is not chosen, then the new email message will be opened as a blank message not using any template.
- Select which project contacts, contact personnel or internal staff the email will be sent TO. The email address you clicked on in the list automatically checked in the list.
- Check the To, CC, or BCC boxes to send the email to extra project contacts, contact personnel or staff to the email.
- (Optional) Add an extra contacts or personnel to the email by:
- Go to the Search Tab.
- Type part of a name next the Search symbol.
- Press enter to run the search.
- Check the To, CC, or BCC boxes to add the people to the email message from the search results.
- Click Send.
- The new email message opens addressed to the selected contacts or staff. If a email template was chosen, then the subject and body of the email has also been automatically populated.
- Update the email message, and send to the email recipients.
Cancel
the invoice
Write off invoice
balance
Complete the following steps- Highlight the invoice number to be written off.
- Select the write off balance button
. - A screen will appear requesting the date the balance
is to be written off.
- The full amount currently outstanding will be written
off. You cannot nominate a value for this.
